ClosingLoop is an AI assistant that connects to your company's tools and answers questions with cited sources. This policy explains what we collect, how we use it, and the choices you have.

1. Information we collect

Account details you provide: your name, work email, organization, role, and the identifiers used to sign you in.

Content you connect: the documents, messages, and data you link from your tools so ClosingLoop can answer questions from them. This is your workspace content, and it stays yours.

Usage and device data: log data, IP address, browser and device details, and how you interact with the product — used to run, secure, and improve the service.

2. How we use information

To provide the service: sign you in, enforce your permissions, retrieve your connected content, and generate answers with citations to their sources.

To keep the service secure and reliable, to support you, to improve the product, and to meet legal obligations.

We do not use your workspace content to train foundation or general-purpose AI models.

3. Connected tools and AI providers

ClosingLoop only reaches the sources you connect — for example Jira, Confluence, Slack, GitHub, Notion, Linear, or Google Workspace — and only with the access you grant. You can disconnect a source at any time.

To answer a question, ClosingLoop sends that question and the relevant retrieved context to the AI model you select. We rely on a small set of providers to run the service: Google Cloud for hosting, our selected model provider for generating answers, and error-monitoring tooling for reliability. Each processes data under its own terms and our configuration.

4. Sharing and sale

We do not sell personal information. We share information only with the service providers that help us operate, when you direct us to, when a business transfer requires it, or when law and safety require it.

5. Retention and security

We keep information only as long as needed to provide the service and to meet legal or security requirements. Your workspace content is retained while your account is active and is deleted or de-identified after termination, subject to legal-hold and backup cycles.

We protect information with encryption in transit and at rest, tenant isolation, role-based access controls, and audit logging. No online service can guarantee absolute security.

6. Your choices

You can ask to access, correct, export, or delete information, subject to applicable law and legitimate retention needs. Where we process content on behalf of your organization, we act on your organization's instructions. Questions? Email contact@closingloopai.com.

7. Changes

We may update this policy as ClosingLoop evolves. The effective date at the top will change when we do.
